How to quote office furniture for a company
What information must be ready for a furniture quote to be serious and comparable, and what happens when each piece of information is missing.

A furniture quote is useful when it can be compared with another. For this, all suppliers have to receive the same information: number of positions, square meters, deadline and what the delivery includes. With those four pieces of information, the price differences begin to mean something.
This guide is useful even if you end up quoting elsewhere: it is the order that should be followed in any case.
What information do I need before requesting a quote?
How many jobs, how many rooms and what size, the square meters of the space and the plan if it exists, the period in which you need the office up and running, and the conditions of the building: floor, elevator and times allowed for the entry of furniture.
That last point is the one that is most forgotten and the one that messes up a project the most. A building that only allows furniture to be brought in outside of office hours changes the entire installation plan.
What happens when any of that data is missing?
Without the number of positions, the quote is a price list without a project. Without meters or a plan, no one can tell you if the furniture you are ordering fits. Without a deadline, the proposal may arrive with a date that does not work for you. And without building conditions, installation becomes the problem of move-in week.
When information is missing, what arrives is not a quote but an estimate that will change.
What should it include to be able to compare it?
The detail by product and quantity, the completions, the manufacturing period and the estimated installation date, if shipping and assembly are included, and the warranty by product family with the availability of spare parts.
Two quotes with the same total can be very different if one includes installation and the other does not.
Is it advisable to quote or tender?
For an office that is equipped once, the direct quote is faster and allows the proposal to be adjusted through conversation. Bidding makes sense when the purchase is large, recurring, or the organization requires it by policy.
In both cases, the quality of the response depends on the quality of the initial information.
